About This Role

This role coordinates the day-to-day clerical and secretarial operations within assigned departments, focusing on patient and insurance information management, record keeping, and administrative support. The coordinator ensures efficient workflow and maintains confidentiality of sensitive medical and hospital information.

Responsibilities

  • Collect patient and insurance information and document on forms
  • Obtain insurance verification, certification, and authorization for visits
  • Prepare patient records for therapists, ensuring confidentiality
  • Enter patient confidential information into spectra-soft computer system and eagle
  • Prepare confidential records and forms according to department policies
  • Handle sensitive, confidential information concerning hospital affairs discreetly
  • Obtain medical records and reports for therapists
  • Coordinate and prepare daily sign-in sheets/schedules, verifying schedules
  • Assist with typing/word processing projects during staffing shortages
  • Manage and maintain inventory of office supplies
  • Assist with budget preparation
  • Assist with sorting and distribution of mail and other documents
  • Collect appropriate cash, issue receipts, and reconcile cash
  • Create systems for department files, including patient chart organization
  • Compose correspondence, memos, minutes, and meeting reports
  • Oversee patient callbacks within working day schedules and reconcile charge tickets
  • Coordinate preparation of daily charge tickets/vouchers with proper information (patient name, account/case number, registration code, diagnosis, insurance carrier, ICD9 codes)
  • Assist with and oversee daily batching/coding for vouchers and deliver to designated area, maintaining a reconciliation log

Requirements

  • High School graduate or equivalent
  • Some college

Qualifications

  • High School graduate or equivalent. Some college required. College graduate preferred.

Nice to Have

  • College graduate
  • Working knowledge of Spanish
