The Office Coordinator is responsible for supporting general office operations, performing administrative and clerical duties. This role ensures organizational effectiveness and efficiency through high-degree customer service.
Responsibilities
- Greet all visitors, clients, vendors, or examinees of the company and direct them appropriately
- Answer multiple phone lines in a professional manner, screen calls, and route them appropriately
- Organize office functions, including company meetings and coordinating conference room schedules
- Work directly with management on tasks such as calendar management, travel arrangements, expense tracking, and special projects
- Prepare and modify documents including correspondence, reports, drafts, memos, and emails
- Communicate regularly with all departments to provide general administrative and clerical support
- Deliver incoming faxes, mail, and packages, and process outgoing mail daily
- Ensure all office equipment is operational and maintained as needed
- Control office inventory, place supply orders, and keep breakroom and common areas stocked
- Perform general clerical duties such as typing, filing, emailing, and proofreading
- Oversee the cleanliness of all common areas and report any issues or repairs needed to management
Requirements
- High school diploma or equivalent
- 1+ year related experience
- Complete knowledge of general computer, fax, copier, scanner, and telephone operations
- Knowledgeable of Microsoft Word, Outlook, Excel, PowerPoint, and the Internet
- Typing speed of a minimum of 45 W.P.M
- Ability to follow instructions and respond to management's directions accurately and efficiently
- Exceptional communication skills, conveying information accurately and listening effectively
- Ability to work independently with minimal supervision, prioritize work activities, and use time efficiently
- Ability to maintain confidentiality
- Ability to demonstrate and promote a positive team-oriented environment
Qualifications
- High school diploma or equivalent required
- A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred.
