About This Role

The Office Coordinator is responsible for supporting general office operations, performing administrative and clerical duties. This role ensures organizational effectiveness and efficiency through high-degree customer service.

Responsibilities

  • Greet all visitors, clients, vendors, or examinees of the company and direct them appropriately
  • Answer multiple phone lines in a professional manner, screen calls, and route them appropriately
  • Organize office functions, including company meetings and coordinating conference room schedules
  • Work directly with management on tasks such as calendar management, travel arrangements, expense tracking, and special projects
  • Prepare and modify documents including correspondence, reports, drafts, memos, and emails
  • Communicate regularly with all departments to provide general administrative and clerical support
  • Deliver incoming faxes, mail, and packages, and process outgoing mail daily
  • Ensure all office equipment is operational and maintained as needed
  • Control office inventory, place supply orders, and keep breakroom and common areas stocked
  • Perform general clerical duties such as typing, filing, emailing, and proofreading
  • Oversee the cleanliness of all common areas and report any issues or repairs needed to management

Requirements

  • High school diploma or equivalent
  • 1+ year related experience
  • Complete knowledge of general computer, fax, copier, scanner, and telephone operations
  • Knowledgeable of Microsoft Word, Outlook, Excel, PowerPoint, and the Internet
  • Typing speed of a minimum of 45 W.P.M
  • Ability to follow instructions and respond to management's directions accurately and efficiently
  • Exceptional communication skills, conveying information accurately and listening effectively
  • Ability to work independently with minimal supervision, prioritize work activities, and use time efficiently
  • Ability to maintain confidentiality
  • Ability to demonstrate and promote a positive team-oriented environment

Qualifications

  • High school diploma or equivalent required
  • A minimum of one year related experience; or equivalent combination of training and experience. Experience in a medical office preferred.
