About This Role

Serve as a Clinical Secretary for Pediatric Pulmonology, managing patient calls, appointments, and administrative tasks to ensure smooth clinic operations and exceptional patient care.

Responsibilities

  • Respond to patient calls providing general information and education
  • Greet patients, provide questionnaires, assist with forms and technology, and manage delays
  • Assess needs of patients without appointments and process requests for prescriptions, forms, appointments
  • Review schedules daily for accuracy, needed ancillaries, incoming records, and manage wait lists
  • Complete follow-up needs for patients as directed by After Visit Summary (booking appointments, scheduling labs)
  • Receive incoming phone calls, assess caller needs, process requests, take messages, schedule appointments, or transfer calls
  • Monitor and complete system messages in a timely manner
  • Monitor incoming faxes to determine proper course of action
  • Complete Authorizations and Pre Certifications for external and stat procedures
  • Review provider schedules daily to identify and contact patients requiring follow up and process letters to no-shows
  • Support providers and staff in addressing patient questions/concerns and provide instruction/support on communication
  • Monitor waiting room for patients in distress and respond to minor patient concerns using service recovery tactics
  • Manage multiple in-baskets by monitoring, prioritizing, and routing messages, completing tasks as assigned
  • Act as a liaison between primary care physicians and specialists outside DH
  • Monitor referral work queues and process new referrals according to established procedures

Requirements

  • High school graduate or equivalent
  • 1 year experience in provider office
  • Knowledge of insurance benefit programs and medical terminology
  • Ability to effectively interact with providers, staff, patients, and insurance plan representatives
  • Ability to prioritize multiple tasks
  • Prior computer experience
  • Excellent communication skills
  • Attention to detail

Qualifications

  • High school graduate or equivalent
  • 1 year experience in provider office
