About This Role

This sales position assists the sales director and team with sales and marketing tasks for residential and assisted living levels, providing office management and clerical support, and serving as the initial point of contact for prospective residents.

Responsibilities

  • Provide assistance to the sales director and sales team for residential and assisted levels of living
  • Provide office management, clerical, and receptionist tasks for the sales department
  • Greet all individuals who contact or visit the sales office and provide appropriate information or referrals
  • Respond to requests for information by sending designated letters and brochures
  • Enter inquiry data into approved CRM sales software
  • Answer incoming calls, direct as appropriate, record messages, and provide requested information
  • Respond to inquiries from the organization’s website and proxy email
  • Assist or conduct tours of residential and assisted living as directed
  • Coordinate marketing special events including invitations, attendance verification, and final preparations
  • Prepare orientation packets, move-in information, phone directory, and name plate for new residents
  • Schedule resident host/hostess and prepare welcome gifts
  • Provide administrative support to sales director and assisted living sales staff
  • Prepare and organize applicant files, ensuring all forms are in place
  • Maintain a presentable, professional, and well-organized office environment
  • Maintain and organize department storage areas and manage inventory of supplies

Requirements

  • Minimum of one-year related office experience providing clerical or administrative support
  • Proficient in Microsoft Office Suite
  • Ability to deal tactfully with staff, residents, family members, visitors and public
  • Interest in and desire to work with older adults
  • Excellent communication skills (written and verbal, English)
  • Good organizational skills and ability to plan and carry out responsibilities with limited supervision

Qualifications

  • High school education
  • Minimum of one-year related office experience providing clerical or administrative support. Successful experiences in a highly visible office with public interaction; experience in sales and/or marketing or healthcare related position preferred.
