About This Role

This Project Coordinator role provides essential administrative and information management support to Project Managers within a mechanical contracting and energy services company. The position is critical for maintaining organized project documentation, facilitating communication, and ensuring smooth administrative operations.

Responsibilities

  • Create, maintain, and enter information into spreadsheets and databases
  • Use computers for various applications, such as database management or word processing
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions
  • Review, correct, and enter time sheets into database and payroll software
  • Process and check new hire badging paperwork for field employees
  • Process and distribute necessary reports internally and externally
  • Maintain records of work reports, payroll, and other documentation with an organized filing system
  • Serve as liaison between field office and main office, and between project team and field personnel
  • Conserve time by drafting letters and documents, collecting and analyzing information, and initiating telecommunications
  • Maintain confidentiality of company information
  • Escalate critical and/or sensitive issues to the Project Manager with recommendations for resolution
  • Operate a motor vehicle and/or golf cart to travel between work sites or perform other job-related functions

Requirements

  • 3-5 years administrative support experience
  • High school diploma or GED
  • Proficiency in Microsoft Office applications (Outlook, Word, Excel)
  • Excellent organization, communication, and interpersonal skills
  • Ability to maintain confidentiality
  • Ability to prioritize and organize work in a fast-paced, multi-task environment

Qualifications

  • High school diploma or GED required. Bachelor’s Degree or currently pursuing preferred.
  • 3-5 years working in an administrative job, supporting management

  • Working knowledge of federal, state, and city regulations and guidelines
  • Business writing and reporting skills
