About This Role

This Project Coordinator role provides administrative support to internal and external project management teams, focusing on collecting, processing, and organizing data and documentation to support various project needs. The position contributes to the overall strategy, vision, and values of JE Dunn Construction.

Responsibilities

  • Utilize responsibility matrix to align with business process improvement efforts, supporting the full project lifecycle.
  • Collect, process, input, organize, and file project data and documentation from various sources.
  • Process information within specific timeframes to maintain efficiency.
  • Provide timely and effective communication to internal and external stakeholders.
  • Support project management during the bidding process by creating bid invitations, preparing specifications, and tracking communications.
  • Support project management during the award process by issuing bond memos and executing subcontracts.
  • Organize information into standard formats and reports using various systems such as project dashboards and CMiC.
  • Coordinate submission of project documentation and prepare routine correspondence.
  • Create and distribute potential change items (PCIs) and requests for information (RFIs), following up as needed.
  • Support project management with deliverables, including managing information on the project dashboard and processing electronic documents.
  • Track and monitor necessary documentation (e.g., badging, certified payroll, insurance certificates) to ensure compliance before releasing payments.
  • Receive and direct incoming telephone calls and visitors, or provide additional administrative support to other functions.
  • Share subject matter expertise to support teamwork and deliver results.
  • Exercise discretion and integrity with highly confidential information.

Requirements

  • High School Diploma or GED
  • 2+ years administrative or clerical support experience
  • Ability to perform work accurately and completely, and in a timely manner
  • Communication skills, verbal and written
  • Proficiency in MS Office
  • Organizational skills
  • Ability to work collaboratively and cross-functionally
  • Critical thinking ability
  • Ability to learn and use a variety of software, tools and systems necessary to meet business needs
  • Knowledge of administrative, office and general billing procedures
  • Ability to build relationships and collaborate within a team

Qualifications

  • High School Diploma or GED
  • 2+ years administrative or clerical support experience

Nice to Have

  • 2+ years construction project support experience
