This role involves courteously greeting patients and guests, managing appointment scheduling and check-in processes, and accurately collecting patient demographic and insurance data to ensure proper reimbursement while maintaining confidentiality. The Patient Access Representative is responsible for point-of-service collections and improving patient satisfaction through professional interactions.
Responsibilities
- Greet patients and guests via telephone or in person
- Initiate appointment scheduling or complete check-in/admission process
- Obtain and verify accurate identification and demographical data for patient medical records
- Perform point-of-service collections of co-pays, deductibles, and self-pay portions
- Verify insurance via electronic verification, telephone, or web application
- Balance cash drawer daily and prepare deposit slips
- Demonstrate respect and cooperation in all staff relationships
- Adapt behavior and communication style to specific patient populations
Requirements
- Computer skills and dexterity required for data entry and retrieval
- Effective verbal and written communication skills
- Proficiency with Windows-style applications and various software packages
- Clerical skills and technical knowledge of healthcare insurance benefits
- Current knowledge of Federal, State and Local billing regulations
- Strong interpersonal skills
- Organizational, time management, and conflict resolution skills
- Excellent decision-making skills with strong attention to detail
Qualifications
- High school diploma or equivalent
- Minimum of 1 year of experience in a hospital, clinic, medical office, business services/revenue cycle, or other customer service-related environment. Experience may include front line registration, financial counseling, banking, retail, or similar roles involving direct customer or patient interaction.

- Associate’s Degree
- Certification in Healthcare Access Manager (CHAM)
- Certification in Healthcare Access Associate (CHAA)
- Certification as a Medical Assistant (or other medical specialty-based certification)
