This Operations Manager will lead the administrative side of a clinical operation, supporting day-to-day management, recruitment, scheduling, and customer service. This role is integral to the company's mission and will act as a liaison between administrative and clinical staff.
Responsibilities
- Manage day-to-day operations including recruitment, scheduling, customer service, and reporting
- Perform general administrative tasks in support of the Center's operations
- Maintain accurate records related to staffing and service delivery for each case
- Assist in the creation, maintenance, and management of a master schedule
- Ensure adequate staffing for clinical cases according to budgeted hours and client insurer authorizations
- Support HR, Operations, and Clinical departments and their respective functions
- Act as a reliable source of information to staff, clients, peers, and management
- Serve as the liaison between administrative and clinical staff
- Act as the primary point of contact regarding case assignment and staff availability
Requirements
- Bachelor's Degree or equivalent work experience
- 1-2 years medical, dental, therapy, PT, OT office (or similar) administration or scheduling experience
- Professional knowledge and experience regarding scheduling and operations skills
- Ability to react to change productively

- Excellent time management and organization skills
- Ability to manage multiple tasks, prioritize, and meet deadlines

- Ability to work collaboratively with ABA personnel
- Proficient in Microsoft Office (Word, Excel, PowerPoint)
- Proficient in email and Outlook
- Ability to keep accurate records, work in database, use Excel, and track processes accurately
- Ability to use Zoom meeting and Go To Meeting software
- Ability to learn ReThink software within 30 days
- Ability to travel frequently to office locations in assigned area or corporate headquarters
- Ability to read and respond to emails and accept calls outside of work hours
Qualifications
- Bachelor's Degree or equivalent work experience
- 1-2 years medical, dental, therapy, PT, OT office (or similar) administration or scheduling required; 3-5 years experience preferred. Prior Practice Managers are encouraged to apply.
