Manage day-to-day office operations and provide executive administrative support for a prestige investment bank in New York. This role focuses on a thoughtful, people-first approach in a professional services environment.
Responsibilities
- Manage calendars and coordinate meetings for senior MDs using Microsoft Outlook
- Assist with travel logistics and expense reporting for senior MDs
- Oversee day-to-day office management and vendor relationships
- Greet and manage visitors, delivering a warm experience
- Coordinate mail, packages, supply inventory, food/snack orders, and vendor contracts
- Partner with building management on facilities matters
- Liaise with IT and AV partners on equipment, troubleshooting, and inventory management
- Help manage office relocation efforts
- Serve as on-site representative for onboarding and offboarding (workstations, IT setup, access badges, documentation)
- Partner with HR on new hire orientation, engagement initiatives, and compliance-related tasks
- Support office events designed to build team cohesion and culture
Requirements
- Minimum of 4 years experience in an EA or Office Manager role
- Proficient in Outlook, Word, and Excel
- Professional presence with excellent written and verbal communication skills
- Team-oriented approach; values partnership and collaboration
- Proactive self-starter with sound judgment and calm under pressure
Qualifications
- Minimum of 4 years experience in an Executive Assistant or Office Manager role
Nice to Have
- Experience within a financial services or other professional services environment
