About This Role

This Office Administrator role supports the Bridge Inspection Team in Goshen, NY, by organizing project data, creating reports, and providing essential administrative and logistical assistance to ensure efficient team operations.

Responsibilities

  • Collect and organize project and departmental data from managers, field inspectors, and other support staff
  • Use MS Teams to create and maintain project and departmental channels for the storage of documents
  • Create monthly departmental status reports by collecting relevant data from regional managers
  • Maintain and track staff training and certification records, including look-ahead tracking for renewals
  • Maintain equipment inventories
  • Provide administrative support to management and staff, including follow-ups, communication, and coordination of activities
  • Support on-site field teams with printing, travel coordination, and project logistics
  • Assist with office processes including filing, archiving, data management, and uploading documents to project websites
  • Travel to state offices and project sites in the Hudson Valley and Southern Tier regions of NY State for on-site administrative and logistical support
  • Use a company-provided vehicle for business-related travel, including delivery of project materials and documents

Requirements

  • High School Diploma or GED
  • 3+ years of relevant administrative experience
  • High level of professionalism and positive attitude
  • Comfortable working in a fast-paced environment with interruptions and multiple tasks
  • Comfortable driving 2-4 hours per day, several times per week
  • Physically capable of carrying and transporting boxes weighing 10-15 pounds each
  • Strong interpersonal, written, and verbal communication skills
  • Unrestricted driver’s license valid in New York and ability to successfully pass WSP’s motor vehicle screening
  • Strong organizational skills and attention to detail
  • Proven track record of upholding workplace safety and compliance with WSP’s policies
  • Ability to work schedules that accommodate project-specific requirements

Qualifications

  • High School Diploma or GED
  • 3+ years of relevant administrative experience, preferably in an office assistant role
