About This Role

The Executive Administrative Assistant supports the College of Health Sciences (CoHS) and Academic Affairs leadership at Samuel Merritt University. This role provides executive and operational support, ensuring timely and high-quality services for internal and external stakeholders while maintaining confidentiality and professionalism.

Responsibilities

  • Represent the College of Health Sciences (CoHS) and Academic Affairs as needed, maintaining confidentiality for the University, CoHS, and the Office of People and Culture
  • Schedule appointments, manage calendars, and establish appointment priorities for the CoHS Dean, keeping all informed of changes
  • Arrange the Dean’s travels and community engagement activities, processing administrative paperwork and reimbursements promptly
  • Order and maintain supplies, and arrange for equipment maintenance
  • Direct assigned administrative staff and student workers in the Dean’s Office, anticipating needs and coordinating activities for the Dean
  • Gather data and prepare for meetings, key committees, and task forces commissioned by the Dean
  • Proofread all outgoing correspondence for the Dean for professionalism prior to signature
  • Develop and maintain a records management system for fast retrieval and protection of vital Dean’s Office records
  • Develop, implement, and execute projects as assigned for the Dean
  • Monitor and prepare reports on project status and performance measures/metrics on behalf of the Dean

Requirements

  • Bachelor’s degree
  • 5+ years of broad experience with increased responsibilities in an academic environment
  • 3+ years of Project Management Experience
  • 3+ years of experience as an executive assistant to a university executive level leader
  • Excellent communication skills, both oral and written
  • Proficiency in Skype, Zoom, Outlook, PowerPoint, Windows 365, Excel, Word, and Access
  • Ability to read, analyze, and interpret complex documents and data
  • Ability to write concise, logical, and accurate materials with correct English mechanics
  • Ability to analyze complex problems and derive logical conclusions
  • Ability to organize work effectively, manage multiple tasks, and meet deadlines
  • Ability to exercise tact, confidentiality, and diplomacy

Qualifications

  • Bachelor’s degree required
  • Minimum five years of broad experience with increased responsibilities in an academic environment; Minimum three years of Project Management Experience; Minimum three years of experience as an executive assistant to a university executive leader

Nice to Have

  • Master’s degree
