Perform diversified administrative and secretarial duties for multiple executives and/or senior vice presidents, using independent judgment and action to coordinate schedules, manage meetings, and provide comprehensive support for the Operations Improvement Department and Project Support Office.
Responsibilities
- Coordinate supervisors’ schedules, including making travel arrangements and preparing expense reports
- Set up and maintain meeting schedules for multiple executives and/or senior vice presidents
- Arrange catering, AV requests, handouts, agendas, and minutes for meetings
- Perform diversified administrative and secretarial work in support of multiple executives and/or senior vice presidents
- Compile, analyze, and summarize data for report preparation
- Route inquiries/calls to appropriate executive(s) for follow through
- Respond to correspondence not requiring supervisors’ attention and initiate follow-up for communications
- Provide administrative support for the Operations Improvement Department and Project Support Office
- Type letters, memos, reports, and other correspondence from drafts or notes
- Compose correspondence not requiring supervisors’ attention
- Prepare presentations, handouts, notices, and invitations utilizing various software packages
- Screen and sort mail, determining appropriate routing, and respond to routine matters
- Screen phone calls, greet and direct visitors
- Respond to and resolve associate/patient complaints or direct them to appropriate parties
- Maintain confidential records and files, and create/set up filing systems
Requirements
- High School education or equivalent
- 7 years of secretarial experience
- 5+ years in an executive or senior level secretarial position
- Proficient with word processing, spreadsheet, and presentation software
- Ability to navigate and gather information via internet
- Excellent communication skills
- Excellent organizational skills
Qualifications
- High School education or equivalent
- 7 years of secretarial experience with at least 5 years in an executive or senior level secretarial position
Nice to Have
- Typing 60+ wpm
- Shorthand/dictaphone
- Basic computer knowledge
- Ability to use supportive technology (e.g., Palm Pilots or other devices)
