Provide high-level administrative support to two senior executives within the Peripheral Intervention business unit, managing sensitive information and overseeing complex scheduling. Serve as a key point of contact for internal and external stakeholders, consistently maintaining a professional presence.
Responsibilities
- Arrange complex and detailed domestic and international travel, including documents, flights, hotels, and itineraries
- Draft, edit, and review correspondence, surveys, presentations, meeting minutes, and reports with accuracy and confidentiality
- Provide comprehensive administrative support to department(s), assisting VP/GMs and leadership teams on special projects
- Manage complex executive calendars with precision, prioritizing meetings and commitments across global time zones
- Proactively prepare and track complex expense reports, reconciling all credit card receipts in Concur
- Serve as liaison for Sr. Leaders at VP or GM level for administrative responsibilities and between functional departments
- Interface directly with physician and healthcare professionals to initiate/manage contracts and coordinate travel/honorarium payments
- Assist in the organization of company events, trade shows, and charitable activities
- Track marketing expenditures and maintain budget records
- Process POs and invoices, add new vendors to ERP system, and interface with accounts payable
Requirements
- Minimum 6 years of administrative experience supporting senior level leaders at the Director or Vice President level
- Thorough knowledge of Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, and SharePoint)
- Experience with Concur or a similar Travel & Expense system
- Proven experience managing the planning and logistics of events and meetings (small and large scale)
- Demonstrated ability in end-to-end project management with proven ability to meet deadlines
- Excellent communication skills, both verbal and written
- Excellent time management skills, ability to prioritize and use time effectively and efficiently
- Demonstrated ability to handle sensitive and confidential situations with tact and diplomacy
Qualifications
- High School diploma required, Bachelor's degree preferred
- Minimum 6 years of administrative experience supporting senior level leaders at the Director or Vice President level
