About This Role

Provide essential administrative support to the Business Support Unit, focusing on fleet management, scheduling, and general office coordination. This role helps maintain company assets and ensures smooth operational flow for field teams.

Responsibilities

  • Assist in administration of Enterprise Fleet Management, including system changes and maintenance reporting
  • Assist in GEOTAB (fleet tracking system) administration
  • Visit off-site vehicle storage monthly for asset inventory and vehicle maintenance tracking
  • Coordinate vehicle maintenance and body work as needed
  • Maintain EZPASS and SUNPASS accounts for all fleet vehicles
  • Assist in administration of WEX gas card account
  • Create and maintain asset tracker for all company vehicles and assets
  • Coordinate quarterly emails for vehicle inspections and track responses
  • Coordinate all company travel, including booking flights, hotels, and rental cars
  • Order uniforms, business cards, office supplies, IT orders, Safety orders, and Tool orders
  • Assist with organizing and coordinating uniforms for field teams
  • Assist with inventory as needed (marketing giveaways, PPE, Safety items)
  • Assist with completing credit card authorizations and receipts for statements
  • Support weekly shipments in the office and manage the shipment tracker
  • Work with the team to create Microsoft Forms surveys as needed
  • Update Intranet as needed for the team and other departments
  • Complete Purchase Order requisitions

Requirements

  • 1-3 years of administrative experience
  • Familiarity with fleet management or basic understanding
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Experience with scheduling
  • Comfortable with some travel to Lowell site

Qualifications

  • Bachelor's degree preferred
  • 1-3 years of administrative experience with demonstrated front-line responsibilities

  • Experience with a similar role in fleet management or hands on
  • GEOTAB administration experience
  • Experience with ordering uniforms
