This role serves as the Administrative Associate Manager for the College of Business Dean's Office, coordinating office activities, managing building facilities, and assisting with internal and external events.
Responsibilities
- Serve as the first point of contact for all visitors, faculty, staff, and external guests entering the Gallagher Business Building
- Perform routine clerical and administrative functions, providing administrative support to multiple staff members
- Support onboarding of new employees in coordination with the Director of Operations
- Handle Procard redistributions, travel reimbursements, and non-PO payments for COB staff
- Conduct building inspections, report issues, and request repairs or equipment needs through Facility Services
- Serve as the point of contact for renovations or improvements in the Gallagher Business Building, providing project management assistance
- Coordinate with COB Information Technology to ensure technology needs are met for courses, events, and room rentals
- Assist the Director of Operations with internal and external events management, including catering, vendors, contract negotiations, and booking accommodations
- Provide support for Career Development events
- Serve as a contact for internal and external entities requesting room usage for events
Requirements
- Proficiency in Microsoft Office applications
- Ability to quickly learn and adapt to new technologies
- Excellent written and verbal communication skills
- Professional customer service and conflict resolution skills
- Ability to communicate effectively with diverse stakeholders
- Strong organizational, multitasking, time-management, and critical-thinking abilities
- Proven capacity to work independently, use sound judgment, and take initiative
- Ability to consistently meet deadlines in fast-paced, dynamic environments
- Proven ability to maintain strict confidentiality, professionalism, and punctuality
- Flexibility to work evenings and weekends (infrequent) with advance notice
- Ability to collaborate effectively or work independently as project needs dictate
Qualifications
- High school diploma (or equivalency)
- Entry level
Nice to Have
- Bachelor's degree plus three (3) years of applicable experience
- Knowledge of university policies and procedures
