About This Role

Provide comprehensive administrative and clerical support to the School of Outreach, ensuring efficient daily operations for a complex, multi-program unit.

Responsibilities

  • Provide front-line administrative support for workforce, continuing education, and outreach programs
  • Coordinate administrative workflows to support program coordinators and departmental leadership
  • Assist with purchasing, invoicing, expense tracking, and reconciliation of program funds
  • Support reporting and documentation for grants, contracts, and workforce initiatives
  • Maintain organized digital and physical filing systems and shared calendars/schedules
  • Serve as a primary administrative point of contact for students, partners, and community stakeholders
  • Prepare and edit correspondence
  • Manage multiple course calendars and schedules
  • Process and reconcile financial transactions
  • Run and format reports
  • Provide accurate, timely information to internal and external customers

Requirements

  • Demonstrated skill in customer service and listening and oral communication
  • Ability to handle customer needs, conflicts and difficult situations in a timely and orderly manner
  • Ability to problem solve and make sound decisions using good judgment, tact and sensitivity
  • Strong organization, coordination, and time-management skills
  • Ability to gather and process fiscal and programmatic information
  • Ability to interpret existing policies and procedures
  • Intermediate computer skills in word processing and data entry
  • Skill in the use of operating basic office equipment; such as copier, scanner, fax machine
  • Knowledge of general office procedures and practices
  • Ability to maintain confidentiality of records and information
  • Ability to create, compose, and edit simple and complex written materials
  • Ability to maintain calendars and schedule appointments

Qualifications

  • High school graduation
  • 2 years related work experience, or an equivalent combination of education and experience

Nice to Have

  • Experience in higher education, workforce development, or continuing education environments
  • Experience with basic accounting, purchasing, or budget reconciliation
  • Experience supporting grants, contracts, or program reporting
  • Experience with website content management systems and event coordination
