About This Role

Provide administrative and operational support to property managers, ensuring high-quality, confidential, and professional service within a commercial real estate environment.

Responsibilities

  • Process invoices for portfolio properties
  • Receive, prioritize, and distribute mail and telephone correspondence
  • Create and maintain an accurate and efficient filing system for various documents
  • Prepare business expense reports for approval
  • Schedule and coordinate complex activities, meetings, and company retreats
  • Type and design general correspondence, reports, presentations, and marketing materials
  • Schedule and coordinate complex travel arrangements (airfare, hotel, ground transportation)
  • Assist Property Manager(s) with tenant, property owner, and project developer relations
  • Dispatch maintenance personnel as directed by Property Manager(s)
  • Audit tenant lease files and insurance certificates for compliance
  • Create and distribute various building correspondences and notifications
  • Maintain the YARDI database with new tenant, lease, and billing information
  • Assist with accounting tasks related to budgets, billing, and collections
  • Prepare and distribute delinquency reports and other property-related reports

Requirements

  • High school diploma or GED
  • 5+ years' experience in commercial real estate as a property administrator or equivalent
  • Advanced MS Outlook, Word, and Excel proficiency
  • Detail-oriented with strong client-service, organizational, project management, and communication skills (written and oral)

Qualifications

  • High school diploma or GED required, strong preference for bachelor’s degree in related field
  • Minimum of five (5) years' experience in commercial real estate as a property administrator or equivalent position

Nice to Have

  • Bachelor’s degree in related field
  • YARDI experience
  • Experience in reading and interpreting real estate leases/contracts
