Provide administrative and operational support to property managers, ensuring high-quality, confidential, and professional service within a commercial real estate environment.
Responsibilities
- Process invoices for portfolio properties
- Receive, prioritize, and distribute mail and telephone correspondence
- Create and maintain an accurate and efficient filing system for various documents
- Prepare business expense reports for approval
- Schedule and coordinate complex activities, meetings, and company retreats
- Type and design general correspondence, reports, presentations, and marketing materials
- Schedule and coordinate complex travel arrangements (airfare, hotel, ground transportation)
- Assist Property Manager(s) with tenant, property owner, and project developer relations
- Dispatch maintenance personnel as directed by Property Manager(s)
- Audit tenant lease files and insurance certificates for compliance
- Create and distribute various building correspondences and notifications
- Maintain the YARDI database with new tenant, lease, and billing information
- Assist with accounting tasks related to budgets, billing, and collections
- Prepare and distribute delinquency reports and other property-related reports
Requirements
- High school diploma or GED
- 5+ years' experience in commercial real estate as a property administrator or equivalent
- Advanced MS Outlook, Word, and Excel proficiency
- Detail-oriented with strong client-service, organizational, project management, and communication skills (written and oral)
Qualifications
- High school diploma or GED required, strong preference for bachelor’s degree in related field
- Minimum of five (5) years' experience in commercial real estate as a property administrator or equivalent position
Nice to Have
- Bachelor’s degree in related field
- YARDI experience
- Experience in reading and interpreting real estate leases/contracts
