About This Role

This Administrative Assistant role supports the Regional VP within an employee-owned mechanical contractor specializing in complex construction projects. The position involves payroll processing, handling confidential information, and utilizing various software to ensure smooth office operations.

Responsibilities

  • Process payroll for over 100 craft personnel from various jobsites by entering time and labor coding into an ERP system
  • Handle company confidential information with discretion
  • Maintain effective verbal and written communication with internal and external stakeholders
  • Utilize MS Office Suite, Outlook, DocuSign, Adobe Business Pro, and BlueBeam software proficiently
  • Operate accounting ERP software systems for daily tasks
  • Manage web portals such as Procore, Building Connected, SmartBidnet, and Autodesk

Requirements

  • Minimum 10 years experience in an office manager or administrative assistant role within construction or A&E company
  • Payroll processing experience for 100+ craft personnel
  • Proven experience in handling company confidential information
  • Good to great verbal and written communication skills
  • Intermediate to expert level proficiency in MS Office Suite, Outlook, DocuSign, Adobe Business Pro, BlueBeam software, and accounting ERP software systems

Qualifications

  • Minimum 10 years experience in an office manager or administrative assistant role for a construction or A&E company

Nice to Have

  • Bilingual Spanish and English
  • Proven capabilities in web portals such as Procore, Building Connected, SmartBidnet, and Autodesk
