About This Role

Support day-to-day operations by performing administrative tasks for managers, departments, and teams, focusing on maintaining customer-focused relationships and ensuring efficient document control. This role involves managing communications, coordinating meetings, and handling travel arrangements.

Responsibilities

  • Support day-to-day operations by performing administrative tasks for manager, department, or team
  • Develop and maintain customer-focused relationships with all stakeholders
  • Answer telephone calls and take messages for manager, department, or team members
  • Ensure appropriate document control and compliance through filing, composing, and editing documents and reports for district office
  • Assist with planning meetings and events, including arranging for catering, booking locations, and distributing information
  • Arrange travel, hotel, and car reservations and prepare travel itinerary
  • Order office supplies for department as requested
  • Support mail distribution and courier requests
  • Greet visitors and answer their questions, directing them to meeting rooms, and connecting them with employees

Requirements

  • High school diploma
  • 1 year of experience in an administrative role or equivalent technical experience
  • Excellent verbal, written and interpersonal communication skills
  • Ability to multitask and adapt to change
  • Ability to act with discretion when handling confidential information
  • Ability to effectively handle difficult situations and remain calm under pressure
  • Ability to develop and maintain effective stakeholder relationships
  • Ability to create, edit, proofread, and format documents/presentations
  • Basic skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote

Qualifications

  • High school diploma. Associates or bachelor's degree, diploma or certificate in office administration program considered an asset.
  • 1 year of experience in an administrative role or equivalent technical experience
