Support day-to-day operations by performing administrative tasks for managers, departments, and teams, focusing on maintaining customer-focused relationships and ensuring efficient document control. This role involves managing communications, coordinating meetings, and handling travel arrangements.
Responsibilities
- Support day-to-day operations by performing administrative tasks for manager, department, or team
- Develop and maintain customer-focused relationships with all stakeholders
- Answer telephone calls and take messages for manager, department, or team members
- Ensure appropriate document control and compliance through filing, composing, and editing documents and reports for district office
- Assist with planning meetings and events, including arranging for catering, booking locations, and distributing information
- Arrange travel, hotel, and car reservations and prepare travel itinerary
- Order office supplies for department as requested
- Support mail distribution and courier requests
- Greet visitors and answer their questions, directing them to meeting rooms, and connecting them with employees
Requirements
- High school diploma
- 1 year of experience in an administrative role or equivalent technical experience
- Excellent verbal, written and interpersonal communication skills
- Ability to multitask and adapt to change
- Ability to act with discretion when handling confidential information
- Ability to effectively handle difficult situations and remain calm under pressure
- Ability to develop and maintain effective stakeholder relationships
- Ability to create, edit, proofread, and format documents/presentations
- Basic skills in Word, Outlook, PowerPoint, Excel, Adobe, and OneNote
Qualifications
- High school diploma. Associates or bachelor's degree, diploma or certificate in office administration program considered an asset.
- 1 year of experience in an administrative role or equivalent technical experience
