About This Role

Provide professional and courteous administrative support to internal and external customers, handling telephone, mail, documentation, and various administrative tasks.

Responsibilities

  • Answer telephone, disseminate information, resolve questions, and route calls
  • Receive, sort, and distribute mail
  • Carry out administrative duties including filing, typing, copying, binding, and scanning (e.g., Apprentice hours, safety paperwork, time cards)
  • Prepare and modify documents such as correspondence, reports, drafts, memos, and emails
  • Maintain supplies inventory by checking stock, anticipating needs, placing orders, and verifying receipt
  • Request, track, and scan insurance certificates for vendors and subcontractors
  • Prepare panel schedules as directed by the Project Management Department
  • Generate, track, and scan Master Subcontractor Agreements to ensure company policy compliance
  • Resolve administrative problems by preparing reports, analyzing data, and identifying solutions
  • Research, provide information and materials, and work on special projects as assigned
  • Provide coverage for other Assistants when needed
