This Administrative Assistant role supports leadership by managing calendars, providing comprehensive office support, and preparing various documents and reports. The position ensures smooth administrative operations, assists with new hire onboarding, and contributes to internal communications.
Responsibilities
- Monitor and manage leadership calendars, meetings, and deadlines
- Schedule appointments, meetings, and events
- Send reminders and ensure schedules remain accurate and up to date
- Prepare, organize, and maintain digital and paper files
- Track projects, follow-ups, and important deadlines
- Compile reports, meeting notes, and summaries for leadership
- Create and format professional documents using Microsoft Word, Excel, and PowerPoint
- Assist with data entry, spreadsheets, and tracking tools
- Prepare and update reports, dashboards, and summaries
- Create and assemble new hire packets
- Track onboarding paperwork and compliance documents
- Ensure all required forms are completed and properly filed
- Apply a creative, polished touch to documents, presentations, and internal materials
- Assist with designing flyers, templates, forms, and training materials when needed
- Serve as a point of contact for internal communication and requests
- Coordinate with multiple departments to gather information and meet deadlines
- Maintain professionalism and confidentiality at all times
