About This Role

Provide comprehensive administrative and clerical support to DHS Federal Protective Service (FPS) Region 5 staff, focusing on document preparation, records management, meeting support, and reporting. This role operates independently and directly contributes to the operational efficiency of the team.

Responsibilities

  • Compose, type, and enter information into databases/spreadsheets
  • Prepare correspondence/documentation and mailing labels; copy data; file records
  • Receive, sort, and distribute mail; prepare outgoing mail
  • Set up meetings/teleconferences, prepare/distribute agendas, and take/distribute minutes
  • Assist with inventory, maintenance, purchase, and dissemination of routine supplies
  • Collect and disseminate GOV mileage and maintenance information
  • Maintain shared drive folders and hard copy/electronic files
  • Assemble and disseminate routine reporting requirements
  • Liaison with DHS help desk for IT/telephone services (ticket initiation, follow-up, resolution)
  • Track assigned case control numbers and route reports for review/approval
  • Provide support to security management branch programs as required
  • Maintain, issue, and control facility keys
  • Provide timekeeping support duties as directed
  • Make travel arrangements and coordinate transportation/accommodations; support regional emergencies/taskings/projects as directed
  • Perform Human Resources administrative functions and tasks as directed

Requirements

  • High school diploma
  • 5 years of administrative assistant experience
  • Excellent verbal communication skills and telephone manner
  • Excellent and accurate written communication
  • Familiarity with Windows operating systems, online calendars, and cloud systems
  • Intermediate to advanced skills in Microsoft Office products
  • Excellent attention to detail; accurate data entry
  • Customer Focused and team-oriented work ethic
  • Able to multi-task efficiently and accurately, focusing on quality
  • Must pass a government background investigation/suitability determination prior to performance

Qualifications

  • High school diploma
  • 5 years of administrative assistant experience
