About This Role

This Administrative Assistant role supports the Program Administrator and School of Nursing, handling a variety of office support and administrative duties, including managing daily office activities, correspondence, scheduling, and assisting with project management. The position ensures efficient office operations and facilitates communication.

Responsibilities

  • Coordinate and manage office activities and operations
  • Maintain office supplies and equipment, ensuring adequate inventory
  • Provide comprehensive administrative support to department staff and the Administrator
  • Prepare formal reports, divisional and board reports, grant reports, and meeting minutes
  • Process forms such as purchase orders, requisitions, and travel arrangements
  • Schedule and coordinate meetings and appointments, including reserving rooms and arranging catering
  • Serve as the primary point of contact for internal and external stakeholders
  • Support the student conduct management process by scheduling meetings and maintaining records
  • Assist with special projects, assignments, and college events
  • Assist in monitoring and managing department budgets and expenditures, processing invoices and expense reports

Requirements

  • High school diploma or equivalent
  • Minimum of 2 years of experience in an administrative or office support role
  • Exceptional organizational skills
  • Strong verbal and written communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • High level of accuracy and attention to detail
  • Ability to handle sensitive information with discretion and maintain confidentiality

Qualifications

  • High school diploma or equivalent required.
  • Minimum of 2 years of experience in an administrative or office support role.

Nice to Have

  • Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field
  • Prior experience in a similar role within higher education
  • Advanced skills in using Microsoft Office Suite
  • Familiarity with project management software (e.g., Asana, Trello)
