This Administrative Assistant role supports the Program Administrator and School of Nursing, handling a variety of office support and administrative duties, including managing daily office activities, correspondence, scheduling, and assisting with project management. The position ensures efficient office operations and facilitates communication.
Responsibilities
- Coordinate and manage office activities and operations
- Maintain office supplies and equipment, ensuring adequate inventory
- Provide comprehensive administrative support to department staff and the Administrator
- Prepare formal reports, divisional and board reports, grant reports, and meeting minutes
- Process forms such as purchase orders, requisitions, and travel arrangements
- Schedule and coordinate meetings and appointments, including reserving rooms and arranging catering
- Serve as the primary point of contact for internal and external stakeholders
- Support the student conduct management process by scheduling meetings and maintaining records
- Assist with special projects, assignments, and college events
- Assist in monitoring and managing department budgets and expenditures, processing invoices and expense reports
Requirements
- High school diploma or equivalent
- Minimum of 2 years of experience in an administrative or office support role
- Exceptional organizational skills
- Strong verbal and written communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of accuracy and attention to detail
- Ability to handle sensitive information with discretion and maintain confidentiality
Qualifications
- High school diploma or equivalent required.
- Minimum of 2 years of experience in an administrative or office support role.
Nice to Have
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field
- Prior experience in a similar role within higher education
- Advanced skills in using Microsoft Office Suite
- Familiarity with project management software (e.g., Asana, Trello)
