This Part-Time Administrative Assistant will serve as the operational heartbeat of the Irvine headquarters, providing crucial support to ensure the office runs seamlessly. The role involves managing office operations, providing direct administrative support to the leadership team, and coordinating special projects and vendors.
Responsibilities
- Serve as the first point of contact for the Irvine office
- Manage the front desk, answer phones, and handle mail/packages
- Ensure the office is tidy, stocked, and operational
- Provide direct administrative support to the leadership team and other departments
- Schedule meetings and manage calendars
- Prepare documents and handle confidential information with discretion
- Assist with special projects and event planning (team lunches, client meetings)
- Coordinate with office vendors (IT, cleaning, supplies)
- Utilize Google Workspace (Gmail, Calendar, Drive, Docs), Slack, and project management software
Requirements
- 2-3 years of administrative, office support, or relevant experience
- Master of organization with an eagle eye for detail
- Proactive problem-solver who anticipates needs
- Clear and professional communication skills (written and in-person)
- Proficient with modern tech tools (Google Suite)
- Reliable, punctual, and able to manage a flexible part-time schedule
- Commitment to being in the Irvine office on core days on a weekly basis
- Must reside in Irvine, CA
Qualifications
- 2-3 years of administrative, office support, or relevant experience
