About This Role

Provide high-level administrative support to escrow and title transaction operations, requiring strong organizational skills and discretion. Manage a wide range of administrative, coordination, and communication tasks within a fast-paced environment.

Responsibilities

  • Perform administrative support duties with knowledge of organizational policies and practices, focusing on escrow and title transaction operations
  • Research and obtain information for complex projects and special assignments
  • Handle confidential and sensitive matters with discretion
  • Prepare and compose professional correspondence, reports, communications, and presentations
  • Assist with telephone calls and resolve inquiries
  • Assist with responses to e-mail inquiries
  • Schedule and coordinate document signing appointments with notaries and customers
  • Assist with meeting scheduling and calendar requests, gathering information for managers
  • Prepare and distribute meeting notes and action items, tracking task completion
  • Provide general administrative assistance including filling out forms, filing, ordering office supplies, submitting and reconciling expense reports, and greeting visitors
  • Coordinate department meetings and events

Requirements

  • 2-4 years administrative experience
  • Experience with MS Office suite (word processing, spreadsheets, databases, graphics, desktop publishing applications)
  • Strong organizational skills with ability to multi-task
  • Professionalism and a positive service attitude
  • Ability to handle sensitive information confidentially
  • Excellent written and verbal communication skills
  • Strong grammar skills
  • Attention to detail
  • Problem solving and analytical skills

Qualifications

  • HS diploma; some college preferred
  • 2-4 years administrative experience
