About This Role

Support the Head of Mission and Headmaster in administrative tasks, development, admissions, and student life. This part-time role requires a highly organized and proactive individual to manage various office functions and database systems.

Responsibilities

  • Represent the school professionally, answering phones and the door
  • Advance tasks proactively based on the annual cycle of events and needs
  • Schedule space reservations with the parish
  • Manage office tasks including organizing paper files, making copies, and managing printers
  • Record income and expenses and prepare checks for invoices
  • Make purchases for administrators and staff and run errands
  • Prepare, manage, and execute mailings for tax letters, annual report, and end-of-year appeals
  • Send information to parishes and schools for admissions and publicity
  • Complete paperwork on behalf of the Head of Mission and Headmaster
  • Manage Salesforce platform for donor and admissions information, including data entry and reporting
  • Track donor correspondence and write thank you notes
  • Plan an annual event to thank benefactors and assist with the annual Gala
  • Coordinate scheduling of preview days and family tours for admissions
  • Set up and manage the TADS online portal for financial aid and tuition management annually
  • Collect family information and complete online Choice Scholarship applications
  • Manage the Safe Parish database and volunteer onboarding

Requirements

  • Faithful practicing Catholic
  • Ability to preserve confidentiality
  • Excellent written and verbal communication skills
  • Proficiency with Word, Excel, and Google documents
  • Attention to detail and thoroughness
  • Ability to determine priorities and meet deadlines
