This role involves performing a variety of complex clerical and secretarial duties for the Police Communication Center, including composing documents, managing schedules, and maintaining records. The position supports departmental operations and ensures efficient administrative functions.
Responsibilities
- Compose and type letters, reports, and memos from various sources
- Utilize computer software to produce documents with text, tables, and graphics
- Take and transcribe minutes from meetings
- Greet visitors and callers, providing assistance or referral and explaining policies
- Schedule appointments and maintain calendars
- Open, review, and route mail
- Arrange conferences and meetings, including compiling agendas and materials
- Make travel arrangements and reservations
- Maintain department files and records
- Compile information for and prepare reports
- Prepare vouchers for expenses, maintain office supplies, and manage a cash fund
- Prepare and maintain personnel records, including payroll processing and timekeeping
Requirements
- High school diploma or equivalent
- 3-6 years of secretarial experience
- Valid Current Driver's License
- Knowledge of office practices and procedures
- Knowledge of department organization, function, and policies
- General knowledge of municipal government organization and services
- Knowledge of personnel and financial recordkeeping
- Knowledge of computer principles and procedures
- Proper public contact and telephone etiquette
- Ability to spell and use correct grammar
- Ability to prioritize and schedule work to meet deadlines
- Ability to transcribe material from a dictaphone system
- Ability to communicate effectively with others
- Ability to work independently
- Ability to prepare accurate payroll and financial records
- Ability to perform computer/word processing functions
Qualifications
- High school diploma or the equivalent
- 3-6 years of increasingly responsible secretarial experience, or equivalent combination of education and experience
