About This Role

Provide comprehensive administrative and office support for the Department of Dental Medicine, ensuring efficient operations and a positive experience for faculty, staff, and students. Maintain knowledge of College policies and procedures to ensure program integrity.

Responsibilities

  • Provide administrative support to the Assistant to the Dean, Associate Dean, Clinical Directors, faculty, clinical staff, patients, and Students
  • Answer telephones and direct messages appropriately
  • Respond to emails and distribute mail
  • Arrange meetings and schedule room use
  • Submit IT/Maintenance help requests
  • Perform routine and complex administrative functions including word processing, filing, and calendar management using Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) and OneDrive
  • Prepare technical, statistical, financial, and narrative reports, letters, and memoranda
  • Create and maintain an updated and accurate calendar of events, activities, rotations, and meetings
  • Act as point of contact for students regarding their dental education, assisting with questions, concerns, and scheduling appointments
  • Operate standard office equipment including multi-line telephone, facsimile machine, computer, printer, scanner, and photocopy machine
  • Organize, administer, secure, maintain confidentiality, and retain records for faculty, staff, and students
  • Provide full support in the use of the Canvas platform to set up courses/modules, manage access, create quizzes/tests, enter grades, and provide reports
  • Coordinate with CDMA administrative support staff to assemble documentation for faculty evaluations and create spreadsheets for student evaluations
  • Assist with special events as needed and register incoming visitors

Requirements

  • High school diploma or equivalent
  • 3-5 years’ relevant work experience
  • Experience working in a team environment
  • Experience in a customer service-oriented environment
  • Excellent written and verbal communication skills
  • Computer proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
  • Intermediate language skills (read, interpret, write routine reports, speak effectively)
  • Intermediate reasoning ability

Qualifications

  • High school diploma or equivalent required. One-year certificate from a college or technical school and/or an Associate degree is highly desired.
  • 3-5 years’ relevant work experience
