About This Role

Perform a variety of advanced administrative, clerical, and support duties for the detention facility and other departments within La Plata County, encompassing data entry, financial record keeping, personnel support, and extensive coordination tasks. This role acts as a lead staff member, training and directing others, and handling sensitive information with discretion.

Responsibilities

  • Perform various data entry and clerical support duties for the detention facility, including reports and warrant research.
  • Balance and maintain inmate funds, answer telephones, route calls, and provide general information.
  • Carry out lead staff member responsibilities, including training, assigning, and directing work, and making performance recommendations.
  • Coordinate department programs, processes, and records, ensuring confidentiality and compliance.
  • Prepare complex, routine, and non-routine reports utilizing various software and conducting research.
  • Interact with high-level individuals internally and externally to provide information and resolve administrative issues.
  • Compose and prepare letters, memos, notices, agendas, reports, and other correspondence, maintaining confidential files.
  • Maintain department or division financial records, overseeing purchasing, accounts payable, accounts receivable, and fee collection.
  • Maintain department personnel files, including employment, training, certification, and evaluation records.
  • Coordinate various payroll processes and related personnel information.
  • Develop, communicate, and monitor policies, procedures, and standards for the department.
  • Serve as secretary to various boards/committees, attending meetings and preparing minutes.
  • Coordinate permits and other application processes, managing record systems and assisting customers.
  • Assist in researching, purchasing, and implementing computer software, and maintaining programs.
  • Update, maintain, organize, and distribute directives, bulletins, newsletters, and website information.
  • Answer, screen, and route incoming telephone calls; provide information to callers, and handle citizen complaints.
  • Interview, screen, and greet visitors and the general public, providing customer service and support.
  • Assist in the formulation of the budget, including recommendations, data collection, and financial reporting.
  • Coordinate and schedule appointments, meetings, and travel arrangements for staff.

Requirements

  • One year certificate from college or technical school
  • 4-5 years of progressively responsible related experience
  • Proficiency in general office procedures, policies, and practices
  • Knowledge of correct English usage, including spelling, grammar, punctuation, and vocabulary
  • Knowledge of office administrative and secretarial practices and procedures
  • Knowledge of record keeping, report preparation, filing methods, and records management techniques
  • Knowledge of accounting and budgeting principles and practices
  • Strong customer service techniques
  • Knowledge of applicable state, federal, and local ordinances, laws, rules, and regulations
  • Proficiency with all computer applications and hardware related to job functions

Qualifications

  • One year certificate from college or technical school
  • Four to five years of progressively responsible related experience or equivalent combination of education, training, and experience.
