This role is responsible for coordinating accurate and timely project registration, billing, collection, and procurement practices for an engineering consulting firm. The position ensures projects are set up correctly, invoices are processed promptly, outstanding accounts are collected, and purchases are managed efficiently.
Responsibilities
- Coordinate accurate and timely project registration, billing, collection, and procurement practices for an engineering consulting firm
- Prepare routine billing for designated projects in accordance with contractual agreements, accounting standards, and internal controls
- Assist with timely review of project registrations and ensure information matches with contracts and client requirements
- Add executed change orders to the system and maintain electronic project files related to financial documentation
- Maintain billing schedule for all projects per contract terms or manager arrangement
- Generate draft invoices, obtain internal approvals, and finalize/submit invoice packages to external clients
- Perform routine collections efforts including phone calls or emails for past due invoices
- Add notes to the collections tool detailing activities and follow up on invoices open past terms
- Collaborate with Project Managers and others to resolve outstanding AR issues
- Fill out onboarding forms for new suppliers and create requisitions for goods/services purchases
- Create receipts for invoices once goods/services are received and invoices are correct
- Reconcile office credit card expenses in the expense report portal
Requirements
- Associate’s degree in related field OR a high school diploma or equivalent plus a minimum of 2 years’ accounting related experience
- Attention to detail and accuracy
- Good communication skills for internal coordination
- Ability to follow instructions and meet deadlines
- Valid driver’s license with acceptable violation history
Qualifications
- Associate’s degree in related field or high school diploma/equivalent
- Minimum 2 years’ accounting related experience in lieu of a degree
