About This Role

The Project and Administrative Coordinator provides comprehensive administrative and project support to the Executive Director of the Academic Medical Centers (AMC) Office of the Chief Medical Officer (OCMO). This role ensures smooth and effective project execution through coordination, documentation, and communication, supporting strategic priorities and daily operations.

Responsibilities

  • Assist in the planning, implementation, and monitoring of projects.
  • Coordinate meetings, prepare agendas, and take minutes.
  • Track project progress and identify issues.
  • Facilitate communication between project teams, stakeholders, and external partners.
  • Assist with data collection and analysis related to project performance.
  • Coordinate supplies and workspace setup for new employees.
  • Oversee purchases of equipment, office supplies, and maintenance of lease agreements and contracts.
  • Initiate purchase order requests and follow through on vendor payments.
  • Manage multiple calendars and filing systems, scheduling large and complicated meetings and events.
  • Prepare expense reports and process invoices.

Requirements

  • High school degree
  • Experience with project coordination and administrative support
  • Experience in planning and supporting large-scale meetings and complex scheduling responsibilities
  • Proficiency in MS Office tools (Word, Excel, PowerPoint, Teams)

Qualifications

  • Bachelors or Associates degree preferred; high-school degree required.
  • Experience with project coordination and administrative support required. Experience in planning and supporting large-scale meetings and complex scheduling responsibilities required.
