About This Role

This Program Coordinator position supports a critical Office of Well-Being within a major healthcare system, providing administrative and program support to the Chief Wellness Officer and leadership team. The role coordinates meetings, communications, and operational deliverables for system-wide clinician and staff well-being initiatives.

Responsibilities

  • Support large-scale programs and initiatives involving multiple stakeholders (often 60+ participants)
  • Prepare, format, and distribute professional slide decks, agendas, pre-reads, and follow-up materials
  • Manage complex program and operating calendars
  • Track metrics and support Monthly Operating Reviews
  • Draft and distribute communications to hospital and system stakeholders using established templates
  • Capture detailed meeting notes, action items, and follow-ups; distribute summaries and materials promptly
  • Provide onsite coordination for clinician well-being retreats and system meetings, including note-taking, survey administration, and reporting
  • Support the department's presence at large-scale system events (e.g., managing booths and materials)
  • Create, upload, and maintain organized file structures in Microsoft Teams and SharePoint
  • Perform content and formatting updates on SharePoint sites
  • Utilize survey tools (SurveyMonkey, Smartsheet, Word) to collect, compile, and report on feedback

Requirements

  • Proven background in program coordination, executive support, or administrative project support
  • Exceptional written and verbal communication skills
  • Advanced skills in Microsoft Office (PowerPoint, Outlook, Word, Excel)
  • Hands-on experience with SharePoint, Microsoft Teams, and complex calendar management
  • Highly organized, detail-oriented, and proactive
  • Comfortable coordinating large meetings and interacting with senior leadership

Qualifications

  • Proven background in program coordination, executive support, or administrative project support.

Nice to Have

  • Prior experience within a healthcare environment or a large enterprise
