About This Role

The Office Services Administrator will provide high-quality administrative assistance, focusing on duplicating services, mail handling, facilities support, and event planning for the Boston office. This role requires working closely with teams to ensure seamless service delivery for client and internal meetings.

Responsibilities

  • Provide responsive, high-quality administrative assistance with a variety of office services tasks
  • Directly responsible for duplicating services for both small and large client and internal meetings
  • Assist with mail and UPS deliveries
  • Conduct office sweeps and assist with conference room setup and breakdown
  • Provide seamless backup support for all other Office Services positions as necessary
  • Work with the team on multiple aspects of facilities, including operating equipment and assisting with office moves
  • Oversee the mailroom, including processing and sorting mail, preparing packages for shipment, and maintaining mailroom supplies
  • Maintain supply inventory (e.g., office supplies, business cards, snacks) including processing purchase orders
  • Ensure security and confidentiality within the office, including liaising with building security and coordinating disposal of confidential documents
  • Appropriately handle additional incoming ad-hoc requests or direct to other colleagues as necessary

Requirements

  • High School diploma
  • 1-3 years in a related corporate or professional environment (advantage)
  • Ability to perform multiple tasks effectively with minimal supervision
  • Strong interpersonal skills
  • Excellent professional demeanor
  • Willingness to take initiative and rapidly problem-solve issues
  • High quality standards and commitment to deadlines
  • Ability to work under pressure
  • Ability to move heavy equipment and furniture
  • Technical knowledge of office machines and equipment
  • Regular and reliable Monday-Friday in-office attendance
  • Strong oral and written communication skills

Qualifications

  • High School diploma required, University degree preferred
  • 1-3 years in a related position in a corporate or professional environment would be an advantage
