The Office Assistant IV supports school operations by performing complex senior-level clerical and administrative duties, ensuring efficiency and organization. This role requires independent work under general supervision and adherence to District policies and procedures. The position involves coordinating office activities, managing records, and acting as a primary liaison for the school.
Responsibilities
- Coordinate office operations for administrators, managers, or departmental directors, ensuring timely completion of tasks.
- Create and distribute various printed documents including forms, reports, correspondence, newsletters, and memoranda.
- Coordinate administrative aspects of school, interdepartmental, interagency, or public matters.
- Serve as primary liaison to other District departments, schools, and the general public, acting as a key contact during emergencies.
- Establish and update manual and computerized record-keeping systems, conducting periodic audits.
- Process forms and notices for school activities, including Human Resource actions, applicant records, and student enrollment.
- Coordinate the organization of classified and licensed substitutes.
- Serve as designated medication and First Aid provider for student health room needs.
- Prepare, maintain, and disseminate regularly recurring reports and records, compiling and verifying data.
- Prepare school or department payroll and maintain related personnel records.
- Order and prepare school or departmental materials and supplies, processing purchase orders.
- Perform various accounting duties including tracking budget, monitoring expenditures, and processing reimbursements.
- Schedule appointments for assigned staff, manage calendars, and organize itineraries.
- Receive and route incoming phone calls, greet visitors, and distribute mail.
- Coordinate requests for use of facilities in cooperation with relevant departments.
Requirements
- Associate’s Degree OR five years of office or secretarial experience
- Three years of office or secretarial experience (if degree is present)
- Ability to obtain and maintain a valid First Aid and CPR card
- Excellent oral and written communication skills

- 3+ years of office or secretarial experience, or 5+ years of office or secretarial experience in lieu of degree.
