Support the Center Therapy Director and Staff Therapists by managing therapy referrals, scheduling patients, and assisting with front and back office duties to ensure smooth patient flow and exceptional care.
Responsibilities
- Obtain timely authorizations from clients and/or insurance carriers for therapy treatments
- Utilize the electronic referral module to maintain records for all active referrals
- Process referrals appropriately based on state guidelines or client specific direction
- Report denials or delays to leadership as needed
- Ensure all authorized visits are scheduled without exceeding authorized visits or date range
- Contact patients who miss an appointment and/or report missed appointments to employer
- Document cancelled or rescheduled appointments in the patient's EMR
- Perform clerical tasks in both the front and back office associated with patient care and record keeping
- Cross train to perform Front Office duties including greeting patients, obtaining authorization, check in/out, answering phones
- Manage daily therapy supply inventory, maintain cleanliness of the therapy department, and document equipment daily logs
- Maintain therapy equipment including hydrocollator, freezer, and paraffin, and complete maintenance logs
- Assist with patient flow and volume and keep patients informed of expected wait times
- Maintain a neat, clean, and orderly appearance throughout the facility
- Facilitate maintenance and required service on all therapy equipment
- Complete reports/logs as assigned by center leadership and attend staff meetings
Requirements
- High School Diploma or GED
- Ability to handle sensitive and confidential information (HIPAA and PHI)
- Intermediate knowledge of Microsoft Office (Word, Excel, Outlook)
Qualifications
- High School Diploma or GED
- Customarily has at least six months or more of referral management experience; previous medical office experience preferred
