The Front Office Coordinator serves as the initial point of contact for patients and visitors, ensuring smooth practice operations by managing front office tasks and providing excellent customer service. This role is responsible for scheduling appointments, handling patient information, and facilitating communication within the medical staff.
Responsibilities
- Greet and check-in patients in a friendly and professional manner
- Manage patient appointment scheduling, including rescheduling and cancellations
- Answer incoming phone calls, respond to inquiries, and direct calls as needed
- Collect and verify patient information, including insurance details and demographics
- Maintain patient records in the practice management system, ensuring accuracy and confidentiality
- Process patient payments, handle billing inquiries, and provide receipts for transactions
- Coordinate communication between the front office, clinical staff, and physicians
- Monitor and maintain the cleanliness and organization of the front office area
- Assist patients with completing required forms and paperwork
- Manage office supplies, ensuring availability for front office operations
- Handle patient concerns or complaints with empathy and escalate issues when necessary
- Support the administrative needs of the practice, including data entry, filing, and correspondence
- Adhere to HIPAA regulations and company policies regarding patient information and confidentiality
Requirements
- High school diploma or general education degree (GED)
- Knowledge of standard clinic practices, policies and procedures
- Ability to read, write, and comprehend simple instructions, short correspondence, and memos
- Ability to effectively present information to customers, clients and peers
- Ability to work effectively both independently and as part of a team
- Strong organizational skills and the ability to multi-task
Qualifications
- High school diploma or general education degree (GED)
- Entry level with medical reception experience preferred
Nice to Have
- Medical reception experience
- Knowledge of MS Office
- Knowledge of Electronic Medical Records (EMR)
