About This Role

This role will fully plan all Bio-X and Clark Center events and provide administrative support to ensure the smooth operation of the interdisciplinary research programs.

Responsibilities

  • Act on behalf of the supervisor, department manager, or chair to establish priorities and resolve administrative problems
  • Research and/or write background information for meetings
  • Oversee and/or perform duties associated with scheduling, organizing, and operating complex conferences, seminars, and events
  • Compose and draft documents and correspondence for presentations, course handouts, grants, conferences, seminars, and reports
  • Plan and schedule calendar(s), resolve calendaring conflicts, and arrange travel in compliance with policies
  • Create complex reports and spreadsheets, making recommendations based on findings
  • Oversee and/or process a variety of complex financial transactions, producing and reconciling budget statements
  • Coordinate complex office moves and plan routine remodeling and renovations
  • Assist extensively with website management, maintenance, and updates using RichText and HTML
  • Assist with graphic design and advertising, including creating original art and copy, event flyers, and website graphics

Requirements

  • High school diploma and six years of administrative experience
  • Advanced computer skills and demonstrated experience with office software and email applications
  • Proven success in following through and completing projects
  • Excellent organizational skills and attention to detail
  • Excellent verbal and written communication skills
  • Excellent customer service and interpersonal skills
  • Ability to prioritize, multi-task, and assign work to others
  • Ability to take initiative and ownership of projects
  • Ability to routinely and independently exercise sound judgment in making decisions

Qualifications

  • High school diploma or equivalent
  • Six years of administrative experience, or combination of education and relevant experience
