This Event Coordinator will join a talented project team to deliver flawless event execution for corporate clients, balancing internal and operational execution with excellent client service. The role involves managing multiple projects simultaneously and requires a passion for building a career in the corporate event industry.
Responsibilities
- Provide project and team support across specific events including database management and meeting support
- Perform data entry and tracking, take meeting notes, and create/modify documents using Google Suite
- Learn and support all standard operating procedures and project workflows
- Proactively manage time and anticipate team and project needs
- Support senior TES team members as required
- Participate in regular internal TES and client calls, preparing notes and giving updates
- Research a variety of on-brand and on-budget event-related needs
- Initiate Request For Proposal (RFP) process with event vendors
- Track, coordinate, and execute complex workflows alongside the event project team
- Support key areas of event planning and execution from kick-off to completion
- Serve as a Production Assistant/Runner onsite at events
- Track and collect billing and expenses for clients and The Event Studio post-event
- Coordinate project wrap-up organization budgets and post-event follow-up
Requirements
- Minimum 1-2 years of relevant event industry experience
- Strong computer skills and ability to master various programs and file types (Google Suite, Microsoft, Zoom, event software and systems, virtual platforms)
- Exceptional attention to detail
- Strong interpersonal and communication skills
- Ability to multitask in a fast-paced environment
- Ability to stay calm and organized under pressure
- Ability to handle confidential information with discretion and sensitivity
Qualifications
- Minimum 1-2 years of relevant event industry experience
