About This Role

Lead operational and administrative efforts, supporting students, parents, and internal teams, to ensure smooth client progress and efficient workflows for an education-focused organization.

Responsibilities

  • Serve as the primary operational and administrative lead supporting students, parents, and internal team members
  • Manage parent communication and client relationships with professionalism, warmth, and consistency
  • Oversee HubSpot CRM, including deal management, pipelines, data accuracy, and basic automations
  • Coordinate contracts, PSAs, retainers, and payment links in a timely and organized manner
  • Maintain and optimize internal workflows, systems, and documentation
  • Support sales and client pipelines through follow-up tracking and task execution
  • Oversee billing processes, including Harvest invoicing, timesheet review, and payroll coordination
  • Track cash flow, KPIs, and financial data to support operational clarity
  • Coordinate administrative marketing efforts, including newsletters and podcast logistics
  • Manage and maintain core platforms and tools used across the business

Requirements

  • Experience in operations, administration, student services, higher education, college consulting, or a related education-focused field
  • Strong organizational and project management skills
  • Experience managing CRM systems (HubSpot preferred) and maintaining accurate client data
  • Comfort handling contracts, billing processes, and payment workflows with attention to detail
  • Strong written and verbal communication skills, particularly when working with parents and families
  • Client-centered mindset with a calm, professional, and responsive approach
  • Experience supporting students and families, including neurodiverse learners, with clarity and patience
  • Technologically proficient and comfortable learning new platforms and tools
  • Ability to work independently in a remote environment
  • Detail-oriented, reliable, and proactive in identifying and solving operational issues
  • Strong interpersonal skills and ability to collaborate effectively with leadership and team members

Qualifications

  • Experience in operations, administration, student services, higher education, college consulting, or a related education-focused field

Nice to Have

  • Familiarity with executive functioning support or academic coaching
