About This Role

This role supports the Collaborative Quality Initiatives Operations (CQIO) team by coordinating deliverables, managing schedules, and assisting with projects for over 20 statewide improvement programs focused on enhancing healthcare quality and safety. The Administrative Specialist facilitates communication and data management between BCBSM, individual CQIs, and CQIO, contributing to strategic initiatives.

Responsibilities

  • Coordinate and support the planning and collection of CQI deliverables, ensuring timely completion
  • Maintain deliverable schedules, track progress, and report on key milestones
  • Prepare annual and ad hoc reports, including overseeing deliverable submission processes
  • Act as a liaison between project teams and stakeholders, facilitating clear communication
  • Aid in the coordination and management of various CQIO projects, assisting project managers
  • Participate in project meetings, take minutes, and follow up on action items
  • Provide administrative support to project managers and operations team members
  • Update the portfolio SharePoint site, DropBox folders, and SmartSheets documents
  • Organize and manage requests, office files, systems, drives, email groups, and online directories
  • Contribute to the preparation and coordination of portfolio meetings

Requirements

  • Associates degree or equivalent experience
  • 2+ years of administrative experience
  • Demonstrated problem-solving skills
  • Strong written and verbal communication skills
  • Proficiency in Windows and Microsoft Office applications (Word, Excel, PowerPoint, Outlook)
  • Ability to travel periodically within Michigan
  • Strong organizational skills and ability to manage multiple tasks
  • Detail and customer service-oriented
  • Exhibits initiative, resourcefulness, and ability to anticipate needs
  • Ability to take direction from multiple people and prioritize tasks

Qualifications

  • Associates degree or equivalent combination of education and experience
  • Two or more years of previous related administrative experience

Nice to Have

  • Prior experience within the University of Michigan
  • Familiarity with University of Michigan systems, policies, and procedures
  • Experience with Collaborative Quality Initiatives (CQIs)
  • Experience using project management software such as SharePoint or Smartsheet
  • Bachelor's degree
