About This Role

Manage incoming and outgoing correspondence and administrative tasks for the Office of the Secretary of War, ensuring efficient communication and operational support. This role involves drafting, reviewing, and editing official documents, coordinating meetings, and providing executive support for senior leadership.

Responsibilities

  • Process incoming correspondence (email, facsimile) and route to appropriate individuals for response.
  • Author, review, and edit drafts of notes, internal memoranda, and official correspondence.
  • Track and maintain visibility on taskers and open actions based on guidance from senior staff.
  • Provide strategy and transformation meeting support, including planning, material preparation, minute recording, and document library maintenance.
  • Assist client leadership with scheduling and execution of meetings and day-to-day business operations.
  • Support executive leadership in managing and overseeing industrial base initiatives, task forces, and interagency initiatives.
  • Provide quality assurance on all products prior to dissemination.
  • Assist government site/office managers with administration and operational activities like facilities, security, records management, and onboarding/off-ramping.
  • Coordinate, consolidate, and draft responses for congressional letters, inquiries, and requirements.
  • Independently transmit information, obtain data, prepare presentations, and deconflict calendar/event scheduling.
  • Manage, maintain, and synchronize complex calendars and schedules of executive personnel, proactively resolving conflicts.

Requirements

  • B.A./B.S. Degree OR 7 years of executive assistance experience supporting senior level defense officials
  • 1+ years of experience with Correspondence and Task Management System (CATMS)
  • Proficient skills in Microsoft Office products (Word, Excel, Outlook, PowerPoint), Adobe, and office equipment
  • Excellent oral and written communication skills geared towards executives
  • Demonstrated ability to write clear, concise, and articulate correspondence with a focus on quality control and attention to detail
  • Strong interpersonal and customer service skills
  • Working knowledge of coordination requirements for reports, briefings, memoranda, and presentations
  • Ability to prioritize, multi-task, plan, problem solve, and adapt in a fast-paced and strategic environment under minimal supervision
  • Active Secret security clearance
  • U.S. Citizenship

Qualifications

  • B.A./B.S. Degree is required, or seven (7) years of executive assistance experience supporting senior level defense officials.
  • 1+ years of experience with Correspondence and Task Management System (CATMS) required; 3+ years of experience supporting Government or Military executives is strongly desired.
