Coordinator Imaging

About This Role

This role is responsible for the precise document imaging and scanning of all timeshare sales transactions, ensuring all documents meet company standards for classification and are available for weekly or monthly funding.

Responsibilities

• Scan daily sales, samplers, cancellation notices, and unclosed cancels within a 24 to 72-hour timeframe (minimum 75 files/day).
• Scan trailing documents, scan/shred, and payoff documents within a 24 to 48-hour timeframe.
• Generate labels for files and create new loan file folders.
• Verify scanned documents and electronic documents for filing in the Synergy system.
• Ensure all sales documents are available for weekly or monthly funding.
• Distinguish between various sales packets and document types, including samplers, scan and shred, unclosed cancels, and trailing docs.
• Verify and correct documents in ImageNow before releasing them from the system.
• Conduct quality assurance for scanned documents, ensuring proper format and categorization.
• Maintain inventory of documents received and delivered to Funding.
• Complete all required company training and compliance courses as assigned.

Requirements

• Proficiency in MS Office programs
• Data entry experience
• Detail-oriented with strong organizational skills
• Knowledge in creating new loan file folders and providing general clerical support

Nice to Have

• Basic knowledge of ImageNow system
• Basic knowledge of AS400
• Basic knowledge of Synergy system
• Knowledge of mortgage loan documentation processes
