This role involves performing essential administrative and clinical duties to ensure the efficient operation of a clinical service or physician practice. The assistant will handle patient appointments, inquiries, billing, and support various office procedures under general supervision.
Responsibilities
- Perform routine administrative and clerical duties related to clinical service or physician practice operations
- Make and maintain patient appointments
- Greet and assist patients
- Answer telephones, assist with inquiries, and schedule appointments
- File materials in patient folders and print appointment schedules
- Process patient billing forms and scan documents to patient medical records (LMR)
- Call for patient medical records and laboratory test results
- Open and distribute unit mail or faxes
- Type forms, records, schedules, and memos as directed
- Handle, screen, and take messages regarding prior authorizations, provider questions, prescription refills, and test results
- Act as "Super User" for scheduling, registration, and billing systems, providing assistance and training
- Perform complex or specialized functions such as surgical scheduling or schedule blocking at an advanced competency level
Requirements
- High School Diploma or Equivalent
- 2-3 years of office experience
- Proficiency with all Office Suite
- Knowledge of office operations and standards
- Understanding of office procedures including filing, copying, scanning, printing and faxing
- Ability to use phone system and manage non-routine phone calls
- Effective written and verbal communication skills
- Ability to understand written documents and compose/edit emails, memos, and letters
- Ability to take complete and accurate messages
- Strong time management and organizational skills
Qualifications
- High School Diploma or Equivalent
- 2-3 years of office experience required
