About This Role

This role provides essential administrative support to a company executive, focusing on enhancing company effectiveness and client service. Responsibilities include managing schedules, handling correspondence, and maintaining confidential information.

Responsibilities

  • Welcome guests and customers, directing inquiries as needed
  • Maintain executive's appointment schedule, including meetings, conferences, and travel
  • Attend meetings in the executive's absence, delivering and receiving messages
  • Conserve executive's time by routing correspondence, drafting documents, and analyzing information
  • Produce and transmit information by transcribing, formatting, inputting, and editing text, data, and graphics
  • Provide historical reference by utilizing filing and retrieval systems and recording meeting discussions
  • Maintain customer confidence and protect operations by keeping information confidential
  • Prepare reports by collecting and analyzing information
  • Maintain and verify office supplies inventory
  • Ensure operation of equipment by completing preventive maintenance and troubleshooting malfunctions
