About This Role

This role will coordinate the fundamental administrative operations of the Institute for Healthcare Policy & Innovation, focusing on strategic process improvement and managing administrative staff and HR functions. The position is vital for facilitating Institute functionality and advancing its overall strategic direction.

Responsibilities

  • Coordinate the overall business and administrative operations of the Institute
  • Serve as the lead on strategic process improvement activities, identifying and implementing solutions
  • Participate and contribute to strategic organizational and project specific meetings with the Institute Director and Managing Director
  • Serve as the IHPI Space Manager, managing space allocation and negotiations
  • Serve as the Office & Equipment Manager, collaborating with HITS for computer equipment and fulfilling staff requests
  • Lead the IHPI Center and Program Administrators Group, establishing processes and coordinating meetings
  • Directly supervise 3 Administrative Specialists, providing management and strategic guidance
  • Manage HR functions for direct reports, including interviewing, selecting, training, and appraising productivity
  • Serve as the HR Lead for the Institute, coordinating hiring, orientation, and onboarding processes
  • Process Institute HR transactions such as PARs, additional pay, and tuition support
  • Serve as the lead for Institute payroll, reviewing, reporting, and maintaining timekeeping and payroll records for staff
  • Serve as the Institute's compliance liaison with Occupational Health Service and ensure staff compliance with Cornerstone
  • Help create a cohesive and supportive work environment for staff, including educational programming and professional development
  • Facilitate staff and learner engagement through retreats, team building, and organizing presentations
  • Lead the Employee Engagement and Wellness Committee to foster a positive culture and prevent burnout

Requirements

  • Bachelor's degree and reasonable professional experience with prior management, supervisory or team leader experience
  • Excellent time management skills, with the ability to work on simultaneous deadline-driven projects
  • Effective spoken and written communication skills
  • Highly organized and attentive to detail
  • Excellent work ethic, positive attitude, and willingness to learn
  • Ability to interact with and build professional relationships with individuals at all levels
  • Exceptional interpersonal skills and the ability to work independently and take initiative, as well as work within a team, with minimal supervision
  • Forward-planning skills, and the ability to efficiently and effectively prioritize and problem solve
  • Proficiency in Microsoft Office (Word, Excel, and PowerPoint), the Google Suite, as well as web-based tools and similar software

Qualifications

  • Bachelor's degree
