About This Role

The Billing Coordinator will support attorneys on all billing questions, working with the billing team to process monthly prebills, track invoice status, and ensure accurate billing practices in a law firm setting.

Responsibilities

  • Provide excellent client service to internal and external clients
  • Own, distribute and process monthly prebills
  • Enter changes to prebills in accounting program, including transfers and edits
  • Track invoice status and follow up on unreturned prebills or unbilled matters
  • Ensure appropriate bill formats, discounts, rate levels, and insurance information are indicated
  • Prepare invoices for clients and third-party billing vendors
  • Prepare spreadsheets, manage client requirements, and understand fee arrangements
  • Ensure high level of accuracy and completeness, including new timekeepers/matters submission and approval
  • Maintain billing information and special instructions in accounting databases and spreadsheets
  • Respond timely to billing-related inquiries from attorneys, clients, and billing management
  • Conduct detailed invoice review, tracking invoice status, legal task coding, and narrative revisions
  • Generate reports, bill and payment history
  • Liaise with attorneys and staff to clarify rate arrangements and override requests
  • Work with attorneys to complete accruals, budgets, and status requests by client
  • Collaborate with assigned EBiller to address ebilling issues and notify of new electronic matters opened
  • Prepare non-insured client appeals for electronic invoices and troubleshoot to resolve issues
  • Post electronic invoices once the client has accepted for payment

Requirements

  • Excellent communication skills, both verbal and written
  • Ability to provide professional customer service by phone and e-mail
  • Well organized, positive attitude and a team player

Qualifications

  • Degree in Business Administration, Management, or Accounting is preferred
  • 2 year minimum law firm experience strongly preferred

Nice to Have

  • 2 year minimum law firm experience
  • Knowledge of Aderant
  • Knowledge of Bill Blast
  • Experience with E-Billing
