About This Role

This role supports the Financial Operations Manager to ensure smooth and efficient operational processes for the Missouri State Public Defender. It involves assisting with fiscal and administrative oversight, process improvement, grant support, and coordination of operational activities across statewide offices.

Responsibilities

  • Assist the Financial Operations Manager with oversight of fiscal and administrative operations, including staff supervision.
  • Develop and implement procedures, operational controls, and process improvements.
  • Prepare and deliver training tailored to internal teams or external stakeholders.
  • Provide support to the grant team in reviewing opportunities, preparing applications, and ensuring compliance.
  • Serve as alternate Agency Purchasing Card Coordinator, ensuring adherence to policies and transaction management.
  • Support the Financial Operations Manager by reviewing and approving invoices for accuracy and compliance.
  • Oversee the review of medical record invoicing to ensure accuracy, consistency, and compliance with statutory fee limits.
  • Coordinate lease agreements, address office space issues, and facilitate safety/disaster planning for facilities.
  • Assist with oversight of records retention and destruction processes and manage secure data transfer protocols.
  • Monitor client recoupment activities, including fee receipting and dispute resolution.
  • Collaborate with IT and other departments to streamline and automate operational processes.
  • Support strategic initiatives aimed at improving operational efficiency and service delivery.

Requirements

  • Bachelor’s degree from an accredited college or university OR an additional 4 years of relevant work experience in place of degree requirement
  • 5-7 years of relevant professional experience
  • Strong understanding of operational management principles and compliance requirements
  • Ability to interpret and apply state statutes, regulations, and agency policies
  • Strong written and verbal communication skills
  • Ability to supervise and coordinate work across multiple administrative functions
  • Proven ability to maintain integrity, professionalism, and confidentiality

Qualifications

  • Bachelor’s degree from an accredited college or university OR an additional 4 years of relevant work experience
  • 5-7 years of relevant professional experience, with some supervisory experience preferred

Nice to Have

  • Supervisory experience
  • Experience in government operations or legal/public sector
  • Familiarity with statewide systems such as SAM II and MOVERS
