Provide high-level administrative support to faculty leadership and other faculty within the Division of Rheumatology at the University of Michigan Medical School. This role requires strong organizational skills and effective collaboration.
Responsibilities
- Provide complex calendar management for faculty, prioritizing and handling frequent schedule changes
- Act as lead and main point of contact for managing all Divisional conferences, seminars, and grand rounds
- Manage long-term, vacation, and part-time pager coverage for faculty
- Coordinate meetings, symposiums, and other large events including logistics and materials
- Assist faculty with correspondence and calendar management, maintaining CVs, biosketches, and other support documents
- Procure office and laboratory supplies, equipment, and professional society memberships; track invoices and payments
- Create forms, spreadsheets, databases, and PowerPoint presentations for leadership functions
- Assist with annual projects, faculty orientation, faculty evaluations, and alumni database management
- Assist with completing clinic closing processes and faculty vacation submissions
- Handle highly confidential or sensitive matters with discretion
Requirements
- Progressively responsible administrative experience (4+ years for Senior, 2-4 years for Intermediate)
- Highschool Education or equivalent
- Proven ability to prioritize, exceptional organizational skills, meet deadlines, and produce detailed and accurate work
- Demonstrated ability to work successfully within a team and independently, exercising good judgment
- Excellent computer skills (Microsoft, Google, calendaring platforms)
- Proven ability to assess and handle highly sensitive and confidential matters with discretion and integrity
- Strong interpersonal skills
- Excellent written and oral communication skills
- Flexibility with schedule
Qualifications
- Highschool Education or equivalent
- 4+ years progressively responsible administrative experience (Senior Level); 2-4 years administrative experience (Intermediate Level)
Nice to Have
- Proactive team member willing to assist others and meet multiple concurrent deadlines independently
- Experience in Adobe Photoshop
- Experience with University systems
- Considerable knowledge of University policy and procedures
