About This Role

Support leadership at Johnson & Johnson Vision in a hybrid administrative role by managing calendars, coordinating events, and streamlining office operations to ensure smooth daily functions.

Responsibilities

  • Coordinate event logistics and provide administrative support for meetings and workshops
  • Manage complex calendars for senior leaders, schedule appointments, update calendars, and troubleshoot booking issues
  • Plan events and onsite scheduling, coordinating services, meetings, gatherings, and events
  • Prepare expense reports, process invoices, and support travel bookings for leaders using Concur, including domestic and international travel and visa support
  • Maintain office supply inventory, organize files, and manage office storage systems
  • Support purchasing orders (POs), payment requisitions, PO issuing, and project number creation
  • Greet vendors and visitors, ensuring pre-registration, preparing guest passes, escorting guests, and liaising with onsite facilities and cafeteria staff
  • Collaborate proactively with leadership and global admin teams, maintaining key spreadsheets and digital records
  • Advise on healthcare compliance for expenses and events, including program/expense limits for healthcare providers

Requirements

  • High School diploma or GED
  • 5+ years of office-based experience
  • 2+ years as an Executive Assistant
  • Advanced proficiency with Microsoft Office Suite (Outlook, Teams, PowerPoint, Excel)
  • Strong multitasking and organizational skills
  • Exceptional verbal & written communication and interpersonal abilities
  • Professional, resourceful, self-starter with strong initiative
  • Open and collaborative team player

Qualifications

  • High School diploma or GED
  • 5+ years of office-based experience, including 2+ years as an Executive Assistant

Nice to Have

  • Experience with Concur and Workday
  • Familiarity with healthcare provider compliance and basic PO/program management
  • Experience working in a fast-paced, cross-functional business environment
