About This Role

Provide advanced secretarial and administrative support to senior leadership and various departments within a large healthcare company. This role involves managing complex calendars, coordinating meetings and travel, preparing reports, and handling confidential correspondence with professionalism.

Responsibilities

  • Answer telephones, screen calls, and take messages promptly and courteously
  • Manage and maintain executive calendars and schedules, prioritizing meetings and appointments
  • Coordinate internal and external meetings, including logistics, catering, remote access, and amenities
  • Prepare, format, and proofread correspondence, reports, invoices, contracts, meeting minutes, and presentations
  • Make travel arrangements for leadership and staff, including booking accommodations and transportation
  • Handle incoming and outgoing mail, including distribution and filing
  • Maintain organized office files, records, and supplies inventory
  • Assist leadership with preparing presentations, reports, and meeting materials
  • Monitor and respond to requests and correspondence, directing them to appropriate personnel
  • Handle audio/visual needs for executive meetings and events onsite
  • Anticipate administrative needs and proactively resolve potential bottlenecks
  • Support team initiatives and contribute to a collaborative work environment

Requirements

  • 5+ years of experience supporting multiple senior-level executives in a large, complex organization
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Strong attention to detail and excellent verbal and written communication skills
  • Ability to handle confidential information with discretion
  • Exceptional organizational and time-management skills
  • Experience managing calendars, scheduling meetings, and coordinating travel arrangements
  • Demonstrated ability to prioritize multiple tasks and work effectively under pressure
  • Ability to build strong professional relationships internally and externally

Qualifications

  • 5+ years of experience supporting multiple senior-level executives in a large, complex organization
